Adding a wife(N2) to a record in v11?

Okay, so is it correct that the only way to add a second person/individual (typically the wife) is to create a new individual record for the wife, then create a household record and then affiliate the two records to the household?? This seems rediculously long.... And the address information doesn't carry over to the second individual record? This can't be right can it?? I know this seems basic, so I appolgize, if there is a good tutorial on the network, please direct me to it... just seems so silly if these are the steps.

  • THANK YOU!

One more related question... if the initial existing record is the wife, and you are adding the husband, is there a good way to swap A1 with A2 in the household record so it's the correct salutation?

Yes, this option is based on permissions.

What does it mean if that option is greyed out, is that a permissions thing?

    Heather-

You can make the Husband’s record a Household record, by going up to Constituents – Household Operations – Covert to Household.

After converting the Husband’s record to a HH record, you can “ADD Affiliate” (A2) with the wife’s information; leaving the Affiliate # blank, as it will auto populate.

    I hope this was helpful.

  • Within the Household Operations menu there is an option for Swap A1/A2 that does just that.

  • And just to jump in here with some philosophical stuff...

Which method you use depends on your rules with transactions - do you push them all to the household? Keep them on the individual? - and the amount of personal information on the original husband's account. In some cases it is easier to convert the information from the single name account because you want all of it as a household - or there might be an email you want to move back down to the husband's account which can be easily done.

In some cases, however, there might be a lot of personally connected information to the husband that you want to keep on the individual's account. That's where making a household account and affiliating it might be the better idea. If your organization is keeping a fairly hard and fast 'push all transactions to the household' rule, then you'll want to be sure to move the transactions from the husband's account to the newly created household account.

All of these household functionalities are, as you might have guessed, controlled by security, so you may be able to do one function and not the other.

Just something to keep in mind - I find that I *usually* convert a single name to a household, but not always, and it is always good to flip through the tabs of info to make sure you aren't creating a headache of 'who owns what information' down the line.
