All of our School constituent type files were migrated using the model for OI N1/N2 formats where there was no new A1 Cust Type or Affil Type. Now, all of our School files have no A1 information and the teacher contact is shown but they are not the primary contact on the file. How do we change this so that they are the primary contact?
Michele,
The ability to have a primary affiliation is reserved for households and is not available for organizations or other groups. If you would like the teacher to be the first contact in the list for the record make sure you use a different affiliation type to map the A2s on an OI than you use when mapping standard v10 associations. Once you upgrade to v11 in TX_CUST_TYPE_AFFILIATE set the rank for the primary teacher's affiliation to be lower than the other affiliations for that constituent type, that way the main teacher gets sorted to the top of the navigator and the list on the general tab.
Best,
Anna
Thanks Anna, that leads me to my next question then. Is there a way to have the affiliated teacher contact on a school record show up in the constituent search results? Our schools department has decided to keep individual teacher files at each school for now until we decide to not force transactions to the household (they want to know which teachers at the school are purchasing and if we created one file for the school and affiliated all of the teachers, we would not know which teacher is purchasing by forcing to household). At one of our schools, we have 23 school files, (one for each teacher) but when we search by the school name in the constituent search, it does not tell us what teacher belongs to the file. In V10, you could scroll over to see the N2 information but that does not appear in V11.
You may want to have a look at the documentation for affiliations, affiliation setup and the Organization Constituents section of the help system. Especially note the sections on Include in Search Results. You may also want to review the Version 11 User Training: Constituents hosted training recording, this issue is covered in the latter half of this recording.
I hope that helps.
