Incorrect Contribution-Membership Association

Our institution has setup our annual Gala as an elevated event which is not associated with any membership organizations. However, in doing an audit of last year's contributions, I've found that last years Gala contributions were associated with constituent's memberships. I have spot checked several donors with contributions for this year's Gala and the gifts/pledges are not being associated with memberships, as expected.

As far as I have been able to research, there is no difference between last year's and this year's Gala setups - both are elevated events, associated with identical funds, and are in no way connected to membership as far as I can see. Has anyone else run into this behavior or have any ideas what might be causing this issue? Currently it is skewing some of our giving summaries since last year's giving summaries do include Gala contributions while this year's summaries do not include Gala contributions.

  • If I'm understanding correctly, this sounds like something that I recently encountered with an elevated event. With my situation, when someone made a contribution to attend the event, their membership level was changed. I went to Campaigns > References > Funds, and then scrolled down to the fund associated with my event, and saw that there was a membership level selected for the Constituency when there shouldn't have been. Once I changed the Constituency to "(none)," that solved the issue for me. I hope this might be helpful for you!

  • Are constituencies linked to memberships? If so, how/where?

I do have a "Donor" constituency selected in the fund that's associated with the elevated event, but I don't see that constituency linked to memberships in the System tables. Additionally, the Donor constituency is also selected for our 2024 gala (also an elevated event) but contributions to that campaign are not being linked to memberships.

  • Yes! in campaigns/memberships setup

  • Interesting! I didn't know that that actively linked funds to memberships! I thought it was only an independent association of constituency to fund and constituency to membership - curious that there is a transitive relationship that connects them all.

That said, the constituency selected for our membership orgs are all different than the constituency selected on the fund in question so there is no direct connection. Would simply having any constituency selected connect the fund to memberships? Both last year's event and this year's have a Donor constituency selected but they are still behaving differently...

  • Ah, I may have slightly (unintentionally) misled you - I was literally just answering the "are constituencies and memberships linked" part of the question (and not necessarily in the wider context of your issue).  I'm sorry!
