Sending upgraders advanced notice

I'm interested to know how everyone is handling sending advanced notice to their up or downgraders since hese don't get included in the auto renewal report. Do you email them on a case by case or do you pull off a list of all upgrades/downgrades in the same way that you would new members? We aren't paperless at present so all advanced notice is sent with 10 days notice from the Members' Office.
