Extending Expiration on ALL Memberships

Hey all,

We're closing the Intrepid Museum until March 27.  As a result we'll be extending all of our current members' expiration dates by one month.  Has anyone done this?  If so, were you able to update all of the expiration dates with a utility or procedure?

  • We have discussed this both internally and very briefly with a Tessitura Network Staff Person.  But have not yet started the project to get this going.

    We envision this as a SQL script that updates membership records on the back end.  If I remember correctly the table with the Membership records is TX_CUST_MEMBERSHIP.  

    As we truly do not know how long we are going to be closed we are inclined not to change the membership records right now.

    We also want to think through, customer communications.  (If we are going to give them this benefit, we want to tell the members.). We are also thinking through how we will mark memberships or accounts that get this special benefit.  And how this is likely to impact the renewal process and renewal rate reporting.  For the next year, memberships are not going to be 12 months long.  They are going to be 12.5 ish months long.  

    If folks want to get together next week to discuss.  We might find some ways to share the load.

    The other question is what are folks going to do with their current renewal programs.  Will you continue to run renewal campaigns during this period?  If not are there other ways to keep a revenue stream coming into our organizations?

    We sent a follow-up to the Museum's general COVID-19 email to our members expiring March 31 or later telling them that we were extending their expiration dates by one month.  All of our memberships are set to expire at the end of the month, so we are essentially just pushing all of our 2021 renewals one month later.  The only revenue implication we'll have to plan for as a result of this is that we won't have any March renewals next year.

    We have been planning to run our renewals as usual for now, though I imagine we'll be adjusting the messaging.  Anyone who renews or joins now is getting 13 months.  Everything is changing daily so we'll see!

    Good point about not changing them in Tess until we have a better idea of how long we'll actually be closed though!  If we're closed into April we'll probably be considering giving another extension.  Might as well change them all at once when everything is final!
