Additional membership - pending on records

Hi Forum Land -

We have some people who gave at the $500 level - then 3 months down the road gave another $500.  We bumped them up to the $1,000 level, but want them to revert back down to the $500 level for the last three months of the 2nd donation so that they don't lose their membership status.

Example:

Mr. M. donated $500 on June 15 of 2019.  His membership for that level is set to expire June 30, 2020.  He donated another $500 on August 15, 2019.  His membership now bumps up to the $1,000 level until June 30, 2020.  We want Mr. M to continue to have a membership at the $500 level until August 31, 2020 to follow the second gift.  (Our memberships expire the last day of the month).

How has anyone handled these situations?  Have you used another membership type?

Thanks for all your great answers ahead of time!

  • Hi Angela,

We would make this a pending membership and have it begin on the first of the month after the active membership ended. Both memberships would be at the $500 level. If somebody contacts us directly and requests an upgrade, we will do that over the phone but if we happen to receive another membership payment online or via lockbox soon after another one, we will process as the pending. So we would either do a pending membership or Upgrade the existing one but not add additional months after the original year ended. Let me know if you have any questions, thanks, Ellen

  • How do you have more than one membership on a record?  Do you have a separate membership type?

  • A pending membership will be created that will start on the first day after the active membership expires. We have set up our membership structure to do this automatically when it happens online. When we went live in March 2017, the system would continue to add a pending membership, even if more than one - but at some point, Tessitura changed the backend system to not allow more than 1 pending membership. We have worked with them on a utility to create them going forward but it has been a long process. I'm not sure if you get this a lot so you would have to decide what works best for you but we have a lot of people that buy in advance so it made sense for us to continue this way.

In the History tab, you will basically see the Active membership and then above it will be a pending membership that will start when the active membership expires. They can be the same membership level or a different one, depending on what the person buys.
