Hi everyone,

I'm curious about how other organizations handle payments that come in through the mail that are a few dollars short, where it isn't worth contacting the member. We had a solution but it will soon be obsolete and are looking for a new solution.
Our basic memberships are a flat dollar amount, and we sell them through both the Ticket Orders window and the Contributions window. We used to have our membership levels set up with fairly broad dollar amounts in the Membership Organization area. With the arrival of QuickSale we had to tighten up the dollar amounts on the levels we wanted to make available in this area. To catch any errors that might occur in either the standard Ticket Order/Ticket Order details window, or any errors or low amounts in the Contributions window, we created a kind of catch bucket whose dollar amount covered all of our levels. This would catch staff errors (fat-fingered payment amounts) or accidental low payments made through the mail by customers. This catch bucket level insured that a membership was created with any and every contribution that came in even if it didn't fall into one of our levels, and we would find and fix it in our error checking process later.
With the new Membership Options window in 12.5 we have inactivated our catch bucket level to avoid confusion with the frontline staff (who couldn't see this level previously). The problem with that is, for membership payments that come in through the mail where the payment is slightly short, there is no smooth way to process the incorrect contribution and have a membership trigger. Right now I can push the contribution through, but it does not trigger a membership and if you were to manually create a membership it won’t be tied to a contribution, which isn’t exactly ideal.
So that led me to reach out to all of you. We are a creative bunch with creative solutions to similar problems, and I wanted to know what you might have come up with for this situation.
Thank you!
Jenny
Hi Jenny,
Could you use a dummy payment method for these shortages? If you tie one to a specific gl code, it should be fairly easy to track.
Cheers, Kathleen
