I'm working on setting up pre and post-performance scheduled campaigns (using Mail2). I'm curious where others store the performance information for scheduled campaigns. I'm planning to add most of the fields as custom web content fields in production elements - there will be fields for a number of URLs, images, and text fields. Is there any easier way? It also looks like we will be creating double entry between our CMS system and these fields in Tessitura. I'm wondering if others have the CMS pull basic performance details and the image from Tessitura as well to avoid adding/changing things in two places?
Hi Chuck!
We have a fairly intensive Pre/Post-Performance email setup for Wordfly Triggered Campaigns - but the majority of the setup is really in Tessitura, and it provides all the right data to Wordfly for the emails, so I imagine it would still be similar. We do indeed store our custom content in production elements - but also pull the titles, times, venues, etc from the usual Tessitura performance fields, so there is no double entry. (That data is already pulled for our TNEW site, so most of the important stuff is already loaded in production elements). They also hold fields for images, links to our regular website, videos on YouTube, and other related content. The most useful content entry holds special HTML content that gets pulled for certain shows that have disclaimers, parking problems, and the like.
I'd be happy to share more details of our campaign if you are interested. The more difficult part of the setup was creating tables, stored procedures, scheduled jobs, lists and output sets so that the right people got the right email at the right time. This required us to shift our thinking from a particular performance's pre/post email, to "today's" pre/post email that would send to people that have tickets for shows in the next 4 days (for example). But this may be more than you are looking for. :)

Hi Beth,
Thank you for the feedback. I will be placing almost all of the performance-specific information in the web content fields in productions elements and Mail2 will pull from there. Glad to know that it is working well for you! I may have questions if I run into any problems with adding the URLs and images.
Mail2 pulls the names fairly seamlessly from Tess (at least in my testing) so there won't be an lists/extractions involved. I also learned I can add performances keywords so that Mail2 can look at only perfs having the right keywords so we don't mistakenly send perf reminders for fake events that sit on the production calendar.

Hi,
We also have pre & post show triggered emails setup in WordFly, and much like Beth most of the setup is in the Tessitura list.
We setup a new pair of emails for each production (about every 2 months).
The following is a link to our How To doc for setup if this is of any use:
http://www.tessituranetwork.com/Community/members/darahogan7924/files/How-To-Triggered-Email.docx.aspx
We have seen much higher open and engagement rates for these emails:
Open rate about 60% as opposed to 40% on other emails.
Click rate about 30% as opposed to 10% on other emails.
Having analysed the segment of people that get the Pre & Post show email, this segment also has a higher rate of repeat attendance.
I would be interested to hear what kind of results others are getting from Pre & Post show emails?
thanks,
Dara
This is a long shot but do you still have that doc listed above? When I click the link it goes to a "page not found"
Thanks!
Hi Madeline,
Doc attached here again.
I think when the tess network site moved it lost the old attachments.
cheers, Dara
