Manually adding constituents to a list

Hello Tessiturians,

I need to know how I can allow another user to manually add constituents to a list I have created. Currently others can see the list contents but the "ADD" button is ghosting. Thanks.

  • Hi David,

I don't think it's possible to let others manually edit your list unless they have system admin rights. Here's a chunk out of the List Creation and Management documentation. Hope it helps:

Lists can only be edited by the users who created them and users who have system administrator rights.  When users do not have security access to a list, they can view the contents of the list, copy the list, and use the list in reports and utilities, but cannot edit list properties, edit list contents or regenerate list contents, or delete the list.

It is possible to give users the rights to regenerate the contents of lists to which they do not have edit rights by granting access to the Generate a List utility.  Lists may also be copied by any user.

Additionally, lists can be assigned to control groups.  When a list is assigned to a control group, only users belonging to the control group can view and use the list.

  • Hello,

While another user cannot edit your list you could have them create their own list and then manage those manually added constituents.  You can then go back to the original list and add this secondary list as a criteria in the bottom "OR" window.  This would allow them to select additional constituents and still have them appear on your list.

It's a work around but it should do the trick.  Plus you could also then safely re-generate your list without the fear of losing those manual additions.

  • That person can also copy your list and re-name it as one of their lists and then they have full edit/add/delete rights to the list.

  • Thank you all for your invaluable input! I shall put this new knowledge to work immediately.

  • Anyone know if this is still a restriction?

Has anyone added this as a feature request if this is not a possibility.

  • Hi Tom,

    It's still a restriction.

When I was at Opera Australia (part of the UCSS consortium) we had a Report/Utility that allowed users to assign list ownership to another person.  It was a fairly simple but useful thing with 2 parameters - the list and the new user.  I believe it updated the T_LIST.created_by field to be the username of the person in parameter 2.

Try reaching out to Ken McSwain at the ACO - I'm sure they'll share if you ask nicely.
