Hi all
I've got a problem with three extractions I'm trying to do. and would appreciate some help.
I'm trying to find people who attended at various times. The first one is our oldest list 2004 - 2006. The second is the middle group of people who attended 2006 - 2009, and the final one is for recent attenders 2010 - present day.
the problem I'm having is that people who booked in two (or three) of these periods aren't being picked up. For example someone who booked in 2006 and 2011 isn't being picked up. For the extraction I'm trying to find people who attended in 2006 - 2009 I have suppression sets 2010-2012 and so they are excluded at that point. In the other extraction of finding people who attended in 2010-12, I have suppression sets for people who attended in 2006 so they are ruled out at that point as well.
Could anyone point me in the right direction of resolving this please? I can't think of a way! I would have done it by order date but we're only 18 months into using Tessitura and this information was not brought over from our legacy system. Curses!
thanks
Rich
I'm still very new to Tessitura extractions, but it sounds like the problem is the suppression of people who attended in 2006 in your 2010-12 list. Since you've already suppressed 2010-12 attendees from the middle group, you don't need to suppress middle group attendees from your recent attendees.
This is what the suppressions should look like in your three lists:
- Pull all attendees in the oldest group, but suppress middle and recent attendees
- Pull all attendees in the middle group, but suppress recent attendees
- Pull all attendees in the recent group, no suppression because they wouldn't have shown up on the previous two lists
Best wishes,
Rachel
Hi Rich,
I would recommend doing three individual extractions without suppressing the seasons so that you have the accurate number of constituents who booked during each of the three time periods (including those that fall into 2 of the 3 or 3 of the 3 groups). Since you can not pull based on order date, can you pull by season (i.e. 2006-07 season)? Or, do you only have the lists of buyers for each year in List Manager?

I think if you build each of these time frames as a separate list in List Manager, you could then build an extraction had a segment for each (you’d select “List” as the criteria that would correspond to each of those three lists). That should give you everyone, while deduping among the three lists.

Hi, and thanks for all the replies.
I was definitely overthinking the extraction and right at the end of the day I sussed it!
It isn’t about when people came in terms of year by year, its their last attendance that is the most pertinent one – therefore by reducing the suppressions from other years, I managed to get the three extractions to work, without any crossover and to the total I was expecting should I just pull all the years sales.
Thanks so much for all the advice, tips etc though – much appreciated.
