How to Handle Email Unsubscribes/Hard Bounces in Tessitura

We have a whole list of Unsubscribes and Hard Bounced emails in Prospect 2 and are trying to figure out a way to get this information into Tessitura and where is should be located on the constituent record so that the data in Tessitura is accurately represented. If we remove the emails from the lists in Prospect 2 we do not want those email to get re-added the next time Tessitura syncs to Prospect2. Are there any other organizations that use P2 and handle this information on the Tess side? Any info or opinions are welcome! Thank you!

  • I am not an expert by any means, but we did just convert our email from MailChimp to Wordfly (so not P2, but the other platform that integrates with Tessitura) We had to work with Tessitura consulting to match our unsubscribe and hard bounce lists to records in Tessitura because we do not have any SQL experts on staff. But they did run a script that created Contact Permissions in Tessitura and then the unsubscribe and hard bounce records were marked as"No" in the email field.

    The Contact Permissions are are radio button in the Contact Details tab. We are only sending lists into Wordfly with email addresses marked as "Yes" in the contact permissions in Tessitura.

We run into the issue in which we have had so many records for so long that many people have more than one email addresses. Often someone unsubscribes just one address, but wants to continue getting emails on their other address so we wouldn't want the contact permissions to exclude the whole constituent record from getting emails.

  • I'm considering what to do when live, in-person concerts resume. I feel like some people have unsubscribed to our list this season because they're sad or really not interested in what we're doing now - but they want emails about concerts in the future. And, you're so right about the multiple addresses! What do we do if we're sending to household and what we have as the primary address isn't really the most-practical address? How do we communicate with our patrons about their email if they've unsubscribed or stopped opening? 

  • Yes! We also notice sometimes there is a conflict between their contact permission and their email behavior- i.e. perhaps they have opted in or somehow got added into our MailChimp email, and they actually are opening and interacting with our emails... but their patron record says "do not email." This is a big problem with legacy accounts, I think - that contact permission could be many years old. So I've been hesitant about losing the ability to communicate with the folks who DO want to hear from us.
