Wordfly IP Migration - successes/challenges?

For those of you on Wordfly and just had to deal with the IP migration - has it gone smoothly for you? We created our warm up plan, and WF signed off on it.  We sent our first deployment on Monday (20K names or so) and it went out promptly, and had good open rates, and low bounces, but now we're seeing delayed sends and inconsistent delivery of tests emails.  We'll open up a support ticket if it continues, but wanted to see if others were experiencing the same thing.

    Would you mind at all in sharing your warm up plan? We're at a bit of a lose because we have cancelled all our events so we don't really have any need to email anyone at the moment. So just seeing what we could do - maybe with staff, friends, volunteers etc?

  • Sure! Here's what we did. It's super-specific to us, but the frameworks applies. Wordfly reviewed this as well. 

    Prep

    1. Our list of 340K names is used by two business units: Joe’s Pub (80K names) and The Public Theater (260K names).
    2. I pulled the Hard Bounce and Opt-Out list (20K) to remove entirely
    3. I pulled ER 1 or ES -1 (6K) to deal with later
    4. From the Joe’s Pub 80K, I identified the ER 5 names – 22,546. This is slightly above the 20K recommend – WF approved that number (20K is not a hard limit)
    5. For The Public, our ER 5 segment is 100K names, but that is inclusive of the Joe’s Pub ER 5 names, so I duped it out and broke it into four lists of approximately 20K each. Two of those lists are 21,000.  

    We then took those four lists of 20K each and are adding them in, one email at a time, over the next four emails we send.

    I do want to flag that while our initial deployment was smooth, we've seen a significant delay in sending.  Wordfly recommended we switch to a warm up plan on a scale of 15-20 emails every couple of hours which is, to be quite frank, not an acceptable or sustainable approach given the size of our database. We're currently investigating other solutions.

    Thank you so much this. I mirrors what I had in my head. Could I ask what ER1, ES-1, ER5 means please? I wouldn't like to assume and assume wrong. But thank you. Really appreciate this. 

  • Engagement Rating = 5.  Wordfly recommends using their segmentation tool to identify your highest-responding patrons, so that's people with an Engagement Rating of 5.
