How do you use Tessitura in your Marketing department?

Hi all,

I am on a search for information on how Marketing departments use Tessitura.  Specifically, I am interested in how you use (or don't use it) for list pulls and sales analysis. 

Any information is appreciated, but I have some specific questions below.  Thank you!

 

1.    How often do you use Tessitura?

a.    Do you find the system user friendly?

b.    Is it easy for you to pull data from Tessitura?

c.    Do you use Tessitura’s reporting for sales analysis?

                                         i.    If yes, do you use canned reports or custom reports?

                                       ii.    If no, who does your sales analysis?

 

2.    Do you have demographic information stored in Tessitura?

a.    If yes, where does it live in Tessitura?  Is it in a custom screen?  Do you refresh it?  How often?

b.    If no, do you rely on demographic information at all?  Who provides it?

 

3.    Do you use Tessitura for your list pulls? 

a.    Do you use it exclusively for list pulls or in conjunction with an outside company?

b.    Does one person pull all your lists or is everyone responsible for their own lists?

c.    How do you handle trade lists?

    1. EVERYDAY

    a. I find that if you take the time to learn how the software is set-up it is easy to use. But you must be willing to learn and you must be willing to ask questions (especially when you are trying to understand how your organization uses certain perimeters.)

    b. Yes, I pull data from Tessitura all the time.

    c. Yes

    i. mostly canned reports, we don't have very many custom reports. T-stats has helped a lot as well, allowing others who are not everyday users to do data analysis

    b. We recently joined a collaborative list share for our mailings only and are able to extract demographic information from there.

    3. Yes, all the time. Lists, lists, lists; Extractions, extractions, extractions.

    a. we try to use Tessitura exclusively (although there are still some excel spreadsheets floating around). We do use a third party email vendor to send our emails, but I do all the list management through Tessitura and just upload my email list to my third party vendor each time (Tessitura is more robust and allows me to have WAY more control over my list and so it is easier to do it this way versus trying to maintain lists in the third-party vendor system and then transfer that info back to Tessitura)

    b. We have a power user model and so usually it is each power user pulling their own lists for their department. Although we all have our strengths and weaknesses with the software so I pull the most lists most often so I am usually the one that helps out if people get stuck.

    c. When we do list trades we have them sent directly to our mail house and they are ALWAYS one time use lists.

  • 1. Yes, everyday, every minute almost.
        a. I agree with Laura - if you take the time to learn the system initially, it can be user-friendly.  It may not be intuitive to someone who has never seen it before, but once you know how to use it, there's a lot you can do with it.
        b. Yes - I'm constantly pulling out data.  There's not a day that goes by that I don't run a report, or pull a list/extraction of some sort.
        c. Yes - we use a combination of canned and custom reports, although we've found that more and more we use customized reports (either customized by us, or shared reports that we've gotten from other organizations).  Every now and then we've hired outside consultants to do some analysis for us, but that's been mostly due to lack of staff time, and not the fact that Tessitura isn't able to do the analysis.
     
    2. Not currently, although we are looking to add some demographic information in the future.  Where this will live, though, we haven't figured out yet.
        b. We do have some demographic information that lives in an outside database that we use for some of our mailing lists and analysis - we're not able to attach any demographic information to specific individuals, though, just the list as a whole.
     
    3. Yes, constantly.
        a. We use Tessitura for 99% of our list pulls.  As noted above, we do have information stored in an outside database (although that information is uploaded directly out of Tessitura, so it is still all our own data) that we use for some of our marketing mailings - this allows us to do certain kinds of analysis between lists, and also allows us to include traded lists, as well.  This is strictly something that we use in conjunction with Tessitura - in no way does it replace what we do in Tessitura as far as lists go.
        b. We don't have one specific person in the organization who pulls all lists - for the most part, people pull their own.  For marketing mailings and TMS emails, however, we do have one person who pulls those lists exclusively (it's actually 2 people - a marketing associate that pulls for marketing mailings, and a web person who pulls for emails).  This just makes it easier to track what's been pulled, when it was pulled, that a source got promoted, etc.  Certainly there are other people within those departments who could pull those lists, if needed.
        c. For lists that we trade to others, we either send it directly to the contact at the other organization (if it's an organization we know well), or we send the list directly to the mail house.  All of our trades are for one-time-use only, and we've *rarely* had any issues with someone from another organization using a list more than once.  We do track all of our patrons who are traded in Tessitura, so we can keep track of how often any given patron has been traded to another organization.
