Press Management and Press Releases in Tessitura and Email Clients

Hi all,

I believe there was a chain about this in 2011, but I thought I would reach back out to see if there had been any changes with new technologies. We currently use a mix of Excel, Outlook lists, and Tessitura to manage our press clients, but I'm hoping to make the full switch over to Tessitura to keep all of our order history consistent and get rid of the need of having tons of data in different places.

 

Has anyone maintained their press lists through Tessitura and how have you found it so far? I've begun testing how this might work and I've been using constituencies to label each contact as press and then attributes to distinguish by different press criteria (publication medium, publication niche, award committees, etc.) and it seems to work well, but I don't know if there's any other organization that someone has found works better?

 

In the long run, we're also hoping to send our press releases and all communications out through our email system (currently on WordFly). Has anyone sent releases through this and seen any negative responses from this? I feel like it'll work best if they're all integrated together so we can start tracking metrics of press engagement.

  • Managing Press in Tessitura using Attributes, Constituency, and a Report (with WordFly integration):

     

    Here at Florida Grand Opera we use multiple attributes to describe press. Any account with at least one press attribute gets a constituency of Press (created via automated job that creates and deletes Press constituencies a couple of times an hour).

     

    All press attributes start with Media. There can be any number of attributes used, so a Coral Gables paper (local city) could be tagged with Media Geography of Coral Gables and Miami-Dade [the county].

     

    We have a report that we can use to proof press accounts that lists contact information (address/name/phone/e-mail addresses), any media attributes, and any research notes of the type “Press.”

     

    We use WordFly to send press releases. The advantage: We can see who is opening our e-mails.

     

    Here’s a sampling:
