Press Management and Press Releases in Tessitura and Email Clients

Hi all,

I believe there was a chain about this in 2011, but I thought I would reach back out to see if there had been any changes with new technologies. We currently use a mix of Excel, Outlook lists, and Tessitura to manage our press clients, but I'm hoping to make the full switch over to Tessitura to keep all of our order history consistent and get rid of the need of having tons of data in different places.

Has anyone maintained their press lists through Tessitura and how have you found it so far? I've begun testing how this might work and I've been using constituencies to label each contact as press and then attributes to distinguish by different press criteria (publication medium, publication niche, award committees, etc.) and it seems to work well, but I don't know if there's any other organization that someone has found works better?

In the long run, we're also hoping to send our press releases and all communications out through our email system (currently on WordFly). Has anyone sent releases through this and seen any negative responses from this? I feel like it'll work best if they're all integrated together so we can start tracking metrics of press engagement.

I appreciate any feedback and thoughts on this! Thank you!

All best,

  • We have been meaning to include press communications in our WordFly set up for years--I believe I probably commented on the previous iteration of the question--but I am now not inclined. I do still want to invest some time in that communication channel, but our PR team tells me that their focus is now more about relying on their paid contact databases for each new pitch, rather than trying to keep those lists in Tessitura. They are still creating some Press records in Tess, and of course that's relevant for tickets, but I believe they decided making Tess the central spot was duplicated effort in many ways.

On my end, once you start using another database, you lose a good portion of the motivation for also using common distribution software. There are clear deliverability and reporting advantages to using a proper system rather than BCCs, but I've revised my goals to a more 'minimum viable product' approach of having a better Press home on our website and starting to use GA url appending to get some engagement info. If we learn from that or start to truly integrate this data into our practices, then we'll revisit the value of dealing with the database mix and match challenge.
