Expiring On Account funds

Good day!

I will soon need to expire some on account funds. I've found the On Account Funds Disbursement Utility and have started playing in our Test environment. 

For the patrons who have their full, original funds still available, this works like a charm. But if they've used some of their funds and only have a partial balance, the process fails. As it looks like there are hundreds of accounts that fail, I'm hoping for some guidance so I don't have to process those manually.

  • Hi Lesley - we're in a similar boat with retiring a ton of credit at the end of this fiscal year. We haven't actually run it in Live yet, but based on our experimentation in TEST, it looks like we can set up an import set for the Contribution Import Utility that uses a particular On Account payment method as the source of funds, and when the import utility runs it will go through and actually debit each constituent's on account balance as part of creating the contribution for them. So that's our plan for all the patrons whom the On Account Funds Disbursement Utility will skip over, due to activity taking place beyond their original order - it's a bit more involved to set up, but it still may be a lot faster than having to do it all manually!

    (This all seems to work great in TEST but here is where I'm hoping - if there are any big concerns with this approach we're not aware of - someone else or a Network staff member may raise the alarm for us!) :)

  • Hi there. We too are about to embark on refunding OA money. Are you tokenized? Just curious because we are not and may run into issues with transactions that were processed in person using the EMV readers. Has anyone experienced that issue?
