We just implemented elements last week. (Thank you to those who answered my previous questions).Elements is our processor.
Question: We are on EST time and Elements is CST. Our Web Batch Roll over time 12:00 AM. Therefore when we balance we go into the Core Management System and run a transaction report from 11:00 PM CST to on the previous day to 11:00 PM CST on the current day. This corresponds to our Batch reporting. So we know for every credit card sale we have a corresponding transaction in Tessitura.
Here is our problem: If transactions come in between 12:00 AM to 1:00 AM Elements is sending a statement to our Finance department showing deposits on their on the previous day and in Tessitura we have the next.
Has anyone had success with having elements do a settlement time override? I know payment tech can do this.
Also if anyone else has encountered this issue please let me know how you resolved.
The only solution which isn't practical is to not process credit card transactions between 12:00 AM to 1:00 AM EST.
I too am curious if anyone has a solid resolution to this. We have a work around that helps with this, but it can be time consuming if not done on a regular basis. We have a custom report that is based off the transaction by posting report. We have added two columns to this report that show Authorization # and last 4 digits of CC #. I pull a transactions report from the merchant portal (First Data for us). I then make a pivot table off of the two reports and pivot off of the authorization # and/or last 4 of the CC’s. This should always be a 1:1 ratio. If a particular card doesn’t have a matching Auth # form the opposite report, something is off. (Normally it’s always a situation where 1 order exist in Tess but the card was charged twice.) This is a good method for reconciling at a transaction level. Going over 2 months of transactions is about the most you’d want to do at a single time considering the amount of transactions you’d be pulling. Since this is reconciling on transactions, it takes that weird window of timing out of consideration.
