triggering a constituency to change when the end date is reached

Hi there,

I can't find my notes from the Tessitura conference (which is driving me crazy) but in one of the education discussions a moderator spoke about having an orchestra member constituency change over to an alumni constituency when a report was run. I assume the end date for the constituency triggers this change over, but I am not a Tess guru and would like to learn more about this. We have a high school jazz orchestra and have been trying to figure out a good way to make this shift when our students graduate. While I don't mind doing it manually, it would be excellent if we could run something on Tess to have this changeover occur automatically.

    Hello Halley,

    I think you are looking for the Manage Constituencies Utility report.

    The Manage Constituency utility, located in the Data Management report folder, can perform the following actions for a given constituency:

    • Add/reactivate a constituency for a list of constituents.
    • Deactivate a constituency for a list of constituents.
    • Update constituency Name 1/Name 2 Indicator or End Date for a list of constituents.
    • Deactivate a constituency for any constituents not on a selected list.

    The utility is useful for tasks such as:

    • Globally adding a constituency to a group of constituents using a list, such as a list of VIP constituents.
    • Automating the application of a constituency based on a dynamic list. For example, a dynamic list can select constituents based on an active board association and then the utility can be scheduled to run monthly and update which constituents have the constituency based on the list.
    • Correcting the improper application of a constituency to a group of constituents.
    • Editing the name or active date settings on a constituency for a group of constituents.
