Group tour processes? Booking/scheduling/payments/etc.

Hi all, does anyone use Tessitura to schedule, book, and accept payment for tours, and have tips or tricks they can share? Bonus points if you're working with organizations/schools and have an easy way to handle those records and accept payment online with little manual work!

This is currently eating up a significant number staff hours at our museum. I'm a little surprised at the lack of optimization in the software. We previously used Explorable Places, which worked like a dream even though it could not give us many reports. 

Biggest issues are:

  • A teacher/administrator can't set up an account for a school online so that their payment goes into the school record instead of the teacher's
  • There is no easy way for a teacher/admin to "request" a time within the system. They either need to email/call us or book an existing event. Our previous system had this back and forth request-confirm-book-pay workflow built in.
  • There is not an easy way to track what kind of tour is booked, outside of changing the name of the performance.

If anyone runs an efficient tour department in Tessitura, please let me pick your brain!

Parents
  • Using TNEW you can ...

    1. take the booking with form fields for times etc with the data to a CSI (or you can get fancy with a stored procedure)
    2. send an HTML invoice telling them how to pay (the link and email address)
    3. take the payment online with One Page Giving using the School email address to the School Constituent and holding as On Account
    4. Pay the booking off with the on account funds (& receipt)

    1 and 3 are online and 2 and 4 are manual but low labour
