Troubleshooting data transfer to constituent record from TNEW to Tessitura

Hello,

Oklahoma Contemporary is in the testing phase of transferring to Tessitura and using TNEW to sell camps/class online. We currently use Greater Giving and massively complex Excel spreadsheets (all manual entry to Excel from registration emails sent automatically from Greater Giving) to track camp/class info. We collect a lot of info online that doesn't seem to have a place to automatically transfer in a constituent record (student name, preferred name, allergies, medication, behavior modification, emergency contact, etc.). We were promised in the discovery phase that Tessitura/TNEW would help alleviate manual entry/save time. Does anyone else have any solutions/suggestions/experience with streamlining the online registration info to constituent record to useful reporting process? I am struggling on troubleshooting how to extract the registration info or how to manipulate the data that does not live anywhere in the constituent record. Is the only solution custom tabs?

Thanks,

Emily Burton, Education Associate

  • Hi Emily
At English National Ballet we've just completed a similar implementation.
Custom screens are definitely the best place for all this data - all the collected info sits in one place, laid out how you want, and editable (if you need it to be).  the bonus of this route is that it's then also easy to limit access to the data by user group, if you need to.
If the participant is not the person who has placed the booking, you also need to work out which record the data sits on.

We have a single custom table which stores the data entered online, and a couple of simple reports for the team for registers / enrolment summaries.  It's also easy to create list criteria and output set elements so that you can extract the data you need.

Earlier this year we were given a demonstration of a TNEW module for education registrations that was in development.  If you haven't already seen it, I suggest that you ask for a demo and update on its timeline for release, as it is designed to solve some of the issues around TNEW form data collection for households.

I highly recommend looking at the Education presentations from TLCC2018 - there were at least 2 sessions covering data collection and how to store/display it.

    Best wishes
