Pulling School List with Multiple Individual Affiliates

Hi All,

For one of our education events, we have school groups sign up - often multiple individuals (teachers) from each school. I have been creating a constituency for the school then listing the individual consituants under relationships --> affiliation. This is where the individual email lives.

What I need is a list that includes the school name, the affiliate(s) (under relationships) and there email. Is this possible?

If not - where could I be listing these individuals and their emails allowing me to pull the list?

    If I understand correctly, you are wanting to pull a list of recepients (teachers) that are attending the event? If this is the case, you can make a list of the recepients in List Manager and then execute an Output Set, that includes the fields you want, e.g. school, first name, last name, email etc. (which you can build in Tools>Output Set builder).

    At the moment this is what we're doing... For the workshop/event the school is the owner. In the order the teachers attending are the recipient. If you can get all this info in Tess, you can then make a list in List Manager of the recepients and then extract the info you want about the recepient in an output set. 

    I can give more info if this is on the right track...

    This worked - but seperates the schools and affiliates so I do not know who is affiliated with the school is there a criteria I could pull to distinguish what school they are with?

    I think this is on the right track - for the event the school is the owner and each order the "teacher" is the initiator. What I want is a list of the School, initiator, and the initiators contact information.

    Hey Hannah...

    That "Organisation" field is a localisation of yours, not standard Tess. Kim sorted it out for us up here, so I presume she's set it up for you guys as well - I think quite a few folks have done it, though.

    It basically takes over the "Salutation 2" field on the General Tab to be used as an Org name.

    For anyone else - If you want to do that (and we think it's useful), you need to do two things:

    1. For all relevant salutation formats in TR_SALUTATION_FORMAT, set the values of the  Single Name L2 and Double Name L2 columns  to "!" (That's a special code that means "Don't overwrite", so that the Gen Sal process won't try to generate a value automatically, but will leave your organisation name value alone.)
    2. Change the label on the General Tab to say "Organisation" (or whatever), instead of "Salutation 2"). (Did you know you can do that? See Bob Bell's explanation here)

    There's some discussion about that on a previous forum thread, too.

  • Hi Cassie, similar to other responses below - use Ticket History Performance and Ticket History Role (Initiator) in List Manager. Then when execute an output set, the output set element "Group Name For Individual" indicates which school the teacher is affiliated with.

    Hi Cassie,

     

    I think what you are asking could be solved by using the ‘add individuals’ tab at the bottom of the list criteria screen. You can choose to add specific affiliation types (eg. Teacher), so when you run output sets it will pull the school and all teachers affiliated with that school.

    In the teacher constituent record, record their school name in the ‘Organisation’ field in the general tab. ‘Salutation Outside Line 2’ in the output set will display that information.
