Fundraiser Events

Hi All,

Events such as the Opening Night Gala, Curtain Raiser and other fundraising dinners are now booked by Development. When the Box Office books the events in conjunction with other ticketing requests, the "on account" method is used, but we also offer the events on our website and mobile app as ticketed events. We want to be consistent and we also realize that since a portion of the income is considered a donation, we will send acknowledgement letters.

 How does everyone out there book events like these? Advice is appreciated since we are getting ready to change a few things.

    Our event is also set up the same way in Tess, it just looks like our steps are different. We set up the gala as an elevated event. Our box office has built a GA facility for the Gala and then the performance. Instead of the Development department, our box office (and online) sells our gala and the accompanied performance.

     

    Via Box office – orders are processed through the box office and they place the development portion On-Account for me to process. I track the correct giving level through program listing.

     

    Via Web – Set up as a Fixed Package, then sold to the appropriate performance with the development portion going on account for me to process.

    Our gala is setup as an elevated event, and the concert that it includes is its own ticketed performance. People purchase the gala either directly through the development department, or online.

    Via Development - If they've not previously purchased the concert, development can take their ticketing money, and use a special On-Account to "give" that money to the box office for processing. Otherwise, development can just process the elevated event with no ticket involvement.

    Via Web - Using TNEW, we sell into a "fake" gala performance with various price sections for different levels with and without a ticket. If someone purchases online, we just return/reverse the "fake" order to On Account, and then spend that money in the correct elevated event and pass the ticket money back to the box office for the ticket portion via the special On-Account.

    Since our box office doesn't do booking for the Gala itself, this may not be relevant to you, but I thought I should pass it on in case it might apply to your future processes...
