Trying to understand what is a "best practice" for length of time between when a single donation is received in the office and the # of days that the acknowledgement / tax letter is mailed to the donor. Do you have a standard policy or guideline?
We have no written guidelines, but virtually all gifts are acknowledged in writing within a week of receipt (some leeway is allowed for vacations). Gifts of $500 or more receive a phone call within a day or so, followed by the letter.
Obviously this will depend on how many gifts you receive and how many folks are available to help. I’m the primary letter generator and we average about 75 letters a week – although there are definitely busy periods when we do 200 letters a week during prime member renewal time.

No formal best practice, but I try to keep it within 48 hours as well. If it is a large gift or a major increase, I have our Artistic Director, Board Chair or GM call them the day we receive it.
