Converting Household to an Estate

Hi!

Is there a way to convert a Household record into an Estate record? In searching the Help System, it looks like you can change an individual to an organization type, but I can't find anything about changing a Household to an organization type (we have classified Estates as organizations).

  • Hmm .. for what ever reason my reply from this morning at 9am still hasn't gone through! What I had said was:

    Jess, 

    We've found converting records into estates to be a multi-step complicated process because you cannot simply convert a household to estate. There are different steps also depending on if both individuals are deceased or not. Because of inherited primary addresses and rules in the household operations when converting you'll have to edit the addresses on the individual records which adds an additional wrinkle to the process. 

    Example: Household had A1 (alive) and A2 - deceased. A1 has now died and (Estate) Household gave large bequest.

    1) Add Estate Address and mark as Primary on the Household Account.
    2) Activate A2 - (deceased account)
    3) Add (Home) Primary Address in A1 and A2 individual accounts
    4) Inactivate (Home) Household Primary Address
    5) Convert Household to Individual, Remove Affiliations of A1 and A2

    6) Convert Individual (formerly Household) account now to Estate Account

    7) Add Affiliations of A1, A2, (adult member) and add a Primary Contact (Lawyer, etc.)
    8) Update General tab of now Estate Record (formerly individual, formerly household) with Contact Details (phone, email, mailing) with Primary Contact (Lawyer) information
    9) Inactivate A1 and A2 individual accounts and mark as deceased.

    Voila! 9 steps later you have done it! Hope that helped, let me know if you have questions!

    We're in favor of keeping the account intact and *thank you* for the steps required for changing a HH to Estate. If you're able to share, I'd like to ask how you handle the transaction when the gift originates with only one of the adults. For example, the husband left us in his will and passed away. Do you keep the gift on the HH, on his individual, or a separate individual estate account?

    Your answer will feed into a second question. What if both adults left a gift in their wills but likely pass away years apart. Which account holds the bequest gifts?

  • Just wanted return to this discussion now that I've changed organizations and see if anyone else has come up with other ways of tracking bequests.

    When at the Met Opera, AppSupport wrote a program that would allow for the Planned Giving record to be moved from the Individual to the Estate.  (if post individuals have a bequest each has record and each will have an Estate).  Bequest gifts are then posted in the Estate.  Now at City Center, we are looking to do the same thing.
