Dummy Account for Communications?

Hi everyone,

Our Development officers have a practice of putting all full email communications not sent through WordFly in CSIs .  Entering each record one by one to paste in the body of the email has become very time-consuming - especially during times of the year when we don't have an intern.

We have a custom report (I think lifted before my time from Florida Grand Opera) that adds CSIs based on a list - but we cannot copy and paste into the Notes field, and the Notes field has a much smaller character limit than an actual CSI, so as long as the department wants to continue putting the entire email transcript in each record this is not quite the right solution.

One Development Officer suggested creating a Dummy Tess record for a CSI record of all emails, and then we could use the CSI utility to mass update the constituents that received each communication based on a list with a shorter note - for instance "Sent Meeting Invititation - see [record no], email sent 12/4".

Does this seem like a messy solution?  Do any other companies have dummy records for this sort of thing?  Or does anyone have a report that mass adds CSIs with an unlimited Notes field?
