Program Name Listing

We have done two things that work around the problems you describe quite well.

1.       We have a scheduled report that runs each month to look for program name listing blanks. It finds anyone who made a gift in the previous month and returns to us anyone who does not have a program name listing for that membership organization. We usually ask an intern or volunteer to go in and add names for everyone on the list.

2.       We have a nightly procedure that updates the donation level on program name listing to match their current membership level. If they no longer have an active membership, it sets the amount donation level to 0. I can then easily scrub out old program name listings by just deleting everyone at the 0 level. It’s great to know that every morning that my program name listings match the previous day’s membership levels. If membership are clean, then so are program name listings. I’m not sure if this is a standard item or not, but I’m sure our DBA would be happy to share with yours.

Does anybody have any good suggestions for running a program book name listing. There is a report in Tessitura for doing this, but it has some limitations:

1. If you don't enter a program name for a donor on their donor profile, they do not pull into the list.

2. If a donor's donation level is not manually updated in the program name on their profile, any increase or decrease in giving is not accurately reflected in the program name listing report.

3. Unless you manually remove a donor's name and giving level from the program name on their profile, they will continue to appear on the program name listing report. Someone who hasn't given in several years could be potentially showing up on the report unless their profile is manually updated.

Needless to say, because of these limitations, we find that we are doing a lot of manual editing and clean up work on our program book listings. Has anybody found a way to address these issues? Just curious to see how others are running program book listings.
