Acknowledgments for Complimentary Memberships?

Hello all,

My org regularly gives away complimentary memberships, which we do by creating the Membership directly within the the constituent record without any issues, it's also fun!

However, I am having difficulty combining the acknowledgement letters we process at the end of a day processing paid contributions/memberships with these complimentary ones.

Has anyone else faced this issue? I would love to hear if anyone flags complimentary memberships through some process to indicate that an acknowledgement needs to be printed.

    We use a CSI to mark those records. Actually, we use a CSI for duplicate ack letters as well, because our "ack letter" is actually the membership card, and we found that if any changes have been made since the original gift, they will not be reflected if we use the "duplicate" functionality within the ack letter for the gift.

    We have two CSIs: one for "onsite cards," which means we run them in-house that same day and put them out in first-class mail, and another for "mailhouse cards," which means they are done once a week and sent to our mailing house to be done en masse with cheaper (but slower) mail rates.  If you create a comp membership, you just immediately go tag the onsite or mailhouse CSI on that account, depending on the urgency for the customer.  Ditto when someone calls because they lost their card, or when you make a change to their expiration date and you need to send an updated card.

    Our DBA created a custom CSI output for us, which outputs the fields we need in a membership card AND automatically closes the CSI when you run that output report. When it's time to run cards, we simply go to the reports area, run the "custom close CSI Ack output" report, choose whether we want the Onsite or Mailhouse CSIs, and we're set.

    Thank you so much for sharing your experiences. It sounds like you have a really good system in place!

    While I was hoping to bring the complimentary membership acknowledgment letters into the same workflow that starts with running the 'Print Acknowledgment Letters', a parallel CSI driven report sounds like it hits many of the same points, with the addition of replacement membership cards!

    If you have heard of a way to queue an acknowlegment for printing later without a transaction, I would still be very interested :)
