Processing donation through ticketing

Dear all

We would like to process a donation through the ticketing module at the same time as processing a ticket order so that there is just one credit card transaction. I know that it is possible to do this through the contributions tab of the ticket module - although I think some organisations might simply put the donation on account and then the development department pick that up and allocate it to the donation campaign.

Is anyone else doing this? Any advice on options and set up would be welcomed.

    Hello Rachel,

    We put the donation portion of a payment with ticket sales or subscriptions to on account-development and then the contribution is processed by our Development department using this on account fund as the payment method.  This accommodates both the single credit card transaction as well as separating the contribution processing from the ticket/subscription sale.

  • We also process these like Grand Theatre. There are a few things that you need to consider if you decide to use the contributions tab in the ticket order and for us most of them had to do with security groups. Do ticketing control groups and devo see the same transactions? Do they have separate payment types etc.? Be very careful before trying this out, we found out the hard way that using that tab doesn't really work well for us.

    Are you able to be more specific about the problems you saw? We currently process one low value membership through the ticket order contribution tab and I'd like to check we're not missing something important. 

    We don't separate box office and development with control groups but they do use different payment methods.

    This was so long ago that I would be pressed to remember exactly why we dropped this idea, however I think it mainly had to do with the two different payment methods. Our devo and ticketing payment methods use different merchant ID's which caused some problems financially. Also we tag the payment descriptions with a "T" or a "D" which had made sorting and traversing payment history much easier.
    The one good thing that came of this is that we opened up a lot of control grouped areas that our forefathers had originally set up.

    Sarah makes some really good points and if I recall more reasons that we dropped this idea I'll be sure to post them.

     

  • We also use different MOPs (and bank accounts) – our foundation and operating companies are separate corporations.  However, our accounting staff does a journal entry to transfer the contributions coming in through ticketing.  As an org, we decided the time and labor saved to process it through the ticket order was worth the weekly journal entry.  Customers also prefer the one immediate charge on their credit card.  We’ve been processing this way for about 3 years.  It’s pretty straightforward for us and people are not processing pledge payments through the contribution tab.  I would be hesitant to accept a large variety of gifts or complicated transactions through the ticket office but it serves us well for new memberships, renewals and our “$1 for the arts” ask.
