Sources - End Dates

Many of our 08-09 sources had end dates of 6/30/09 so now if we try to post gifts for last fiscal year, those sources are not available. I'm thinking of eliminating the end dates for our 08-09 sources all together and chaging them to 00/00/0000. Can anyone forsee a problem with this strategy?

    Hi Margaret,

Changing the end dates (or zeroing them out) should not be a problem.  Just make sure that you also change the date for the overall appeal as well as the source codes.

I do keep an end date on our sources because we do eventually stop using them.  But you're right; as long as your appeal is still active it's fine to change the dates to reflect this.  Your appeal for 08-09 can last longer than your campaign for the same year.

  • Margaret,

You shouldn't have any problems with this solution.  Two things to keep in mind:

    1. If you never inactivate old sources your promotions list will get cluttered and may become a problem for gift entry and box office.  We had this problem with our box office, they were confused by all the devo sources until I changed the "Usage" on all our devo sources to "cont" and inactivated old sources.

    2. People may accidentally use sources that are associated with the wrong fiscal year Appeal. For example lets say you have an "Membership Unsolicited" source under an FY09 appeal and the same source (with the same name) under an FY10 appeal, one might accidentally pick the wrong "unsolicted" if they're not careful.
