I’m in the process of setting up our campaign structure for the new fiscal year, 09-10. We extended the end dates for campaign/fund associations for gifts designated to last fiscal year since we are still getting gifts for 08-09. As a result, during campaign set up, the system won’t let me associate any funds with the campaigns for next fiscal year since they are currently associated with last year’s campaigns. Is there any way around this? I’d like to keep the campaign/fund associations for last fiscal year active for a bit and yet still have campaign/fund associations for this fiscal year set up for any new gifts we receive.

Our fund dates for all campaigns are July 1 to June 30 however we do enter gifts for a previous fiscal year past June 30. We have a policy where we backdate all gifts to June 30 if they are for the previous year.
You don't actually need to move your fund dates forward in order to be able to post a contribution to the previous fiscal year.Dale
I'm hoping there's a way to do this without having to back date the gift. Anyone?
We are transitioning our general yearly funds to an even/odd year solution to keep finance happy and to make reporting a little easier than just having a single fund that we keep reusing. We do use a single fund for each of our other less active funds. Originally our general funds had been set up as year specific which was indeed cumbersome.
Hi Nick. Unfortunately, the only way we could continue to get last year's campaigns to show up in the contribution batch entry window was to readjust their end date from 6/30 to 8/1 which means that now when I try to set up my campaigns for this fiscal year I get an error message saying that the fund is already associated to last year's campaign. Is there another way around this?

Hello, everyone. I want to jump in here to point out a setting in T_DEFAULTS (system defaults) that provides access to the Campaign Change chiclet in the Contribution Editor window.
Default Name: ALLOW_CAMPAIGN_CHANGE
A value of ‘No’ here will prevent the campaign change button from appearing in the Contribution Editor. The default value is ‘Yes’
So if you don’t see the chiclet, this setting is most likely the reason.

Hi Ryan. I just tried your solution but when trying to set up the new campaign and selecting the funds to associate with it, I still get this error message: "Fund: XXX is already associated with Campaign: XXX." The system won't allow me to associate a fund with more than one campaign. This is driving me crazy!
The key is making sure the fund start and end dates for the two campaigns do not overlap.If your 08-09 campaign end date is 06/30/09 you should have no problem creating a 09-2010 campaign starting 07/01/09 which should ensure your fund start and end dates do not overlap. If you are still getting the error then that fund must be active in yet another campaign somewhere.

I think the confusion lies in that the dates need to overlap. At the end/beginning of the Fiscal Year we have contributions for the ending fiscal year and the beginning fiscal year to enter at the same time. Is there a way to set up Tess to solve this issue?

Your dates in Tessitura cannot overlap but they do not need to overlap.
Lets say you have the following:
FY09 Membership Campaign - Fund= membership 7/1/2008-6/30/2009
FY10 Membership Campaign - Fund = membership 7/1/2009-6/302010
As long as both these campaigns are active you can make a contribution to either one even if the end date has passed or has not yet started. You just need to select the correct campaign when you're entering the gift - after you select the fund.Dale

The sources within the appeals will need to have future dates and be active in order to be used for gift entry. However, you shouldn't have any issues there with overlap, the only dates that cannot overlap are the fund dates.

Have I got it right that we can assign new campaigns to an existing and ongoing fund even if old campaigns are still associated to that fund, as long as the fund dates within the campaign set-up do not overlap? Lilke this:

The best answer I once heard to the source - appeal - campaign relationship is:
the campaign you are using within your appeal is only used for EXPENSE calculation, however your INCOME can go into any campaign.
so if the donor gets an end of year appeal to contribution to the annual membership campaign but then uses that reply device to make an endowment contribution, I would still use the source code from the annual membership appeal, but the money would go to endowment.

Thanks, Leslie! It seems almost too simple so i didn't quite believe it!
Perhaps it's because we've now changed our Fund structure so that we're using perpetual funds rather than FY ones so we can make sure the dates that the funds are associated to each campaign are for the appropriate FY (the bit in my attached document). It's taken a while to get our heads round the fact that these dates are not the dates the funds are active but just the dates they're associated to the particular campaign.

Its okay we’ve only ever had perpetual funds so I think I would find it just as confusing to have create new funds each year.
