Pledge Gift report with addresses

Finance is working on our 990 filing and is looking for a report that will show Names, Addresses and Contribution amount between a date range and a contribution amount range.  The Pledge Gift report looks the best but is lacking the address requirement for us.  Is there another report that has all of these fields?  Does anyone have a report they wish to share?  Or have others just been adding the address information manually?

Thanks

  • Jim,

Count me in on wanting the reference sheet as well.  I’ve done way too many manual matchups of Excel spreadsheets!

    Hi Jim,

I am also interested in your quick reference sheet. I attended the session at last year’s conference where you presented about “stupid Excel tricks” and I think I have  the reference sheet in my notes, but would appreciate another copy J

    Jim,

I am very interested in your quick reference sheet.  I’d love to introduce this to other staff members in my department as we often find ourselves in the situation of having to combine the results from multiple reports in Excel.

    Best,

    Amber

What Jared said, but with one more tip.

There's a function in Excel called "vlookup" that you can use to line up multiple spreadsheets based on a unique identifier (Tessitura ID#). I do this roughly 1 million times a day and I'd be happy to send you a quick reference I made. It's a handy replacement for creating custom reports when you're always asked for a report like the last one only different and you know you'll never be asked for the same one again.

    Hi Joel,

If you, or someone else at your organization, is practiced in customizing reports it probably wouldn't be too much trouble to include the address information with the report output.  But, if you don't have the time or resources to make something new you can still make it work.

A cool trick that you can use on any report that includes Constituent level detail is to save the report as a List.  So, here is what you do:

    1.  Run the Pledge Gift report as usual and then select "File > Save as" to save the report as a spreadsheet.

    2.  With the report still on your screen in Tessitura go back to the menu again, but this time select "File > Save as List".  Enter a name for the list and then it will be added to List Manager.

    3.  Now you can use the User Defined Format from a List report with the new List you just created to get the name and address information for the same constituents who are on the Pledge Gift report.  Save these address labels as a spreadsheet.

    4.  You now have two spreadsheets.  One with addresses and one with contributions.  You can match them up together based on the column labeled customer_no.

Granted, it is a work around rather than a one-step-and-done process, but at least you can get what you need today with the tools you have at hand.

    Good luck!

    Jared
