Acknowledging Gift Memberships

Apologies becasue this is probably something very simple that I am missing.

We have just gone live and I am sending out our first batch of membership cards/details etc. To do this I am using the print acknowledgement letters report. All well and good, my slight issue is that I may have started to run before I could walk and have processed a few gift memberships. I assumed that the person receiving the membership would show up on the acknowldegement letters report but I was wrong. My question is in two parts

1)should I be using something else to pull the data to send out the membership cards

2)How do I tell from a persons contituency record who the benefits of their gift are allocated

  • Me again, I've looked harder and found that both the person paying for the membership and the person receiving the benefits of the membership are both appearing on the report but it is not obvious which is which from the report.

I suppose my question is do I need to rewrite my membership acknowledgement letter?

p.s I still can't tell who the membership benefits have been allocated to from the person making the gifts record. I can tell who made the gift from the gift receiver's record though.

  • You may want to change the way your acknowledgment rules are set up so that you have a separate type of acknowledgment for gift memberships. The text of your merge template might be essentially the same, but the merge fields would be slightly different to account for the donor/creditee situation. I would suggest taking a look at the acknowledgment documentation - it's quite helpful. (I'm looking at it now, and I think the section on page 9 explaining the Creditee Indicator will help answer your question.)

If you drill into the contribution detail on the donor's account (double click on the line of the transaction), the recipient should be listed on the creditee tab.

    I hope that helps!

  • Thank you Sarah,

    That is really helpful.
