We are trying to backdate a contribution that we have received towards a pledge. When we created a new batch and amended the date of the pledge it processed the payment outside of the pledge. When we then backed this transaction out it goes back into the pledge but dates it as todays date!!! Any ideas would be greatly appreciated.

It is not possible to backdate a pledge payment. You can alter the date on a pledge or a gift but a payment is a transaction as such gets tagged with the date it is processed.

Although it is not possible to change the Transaction date on a pledge payment as the Transaction date for any financial transaction will always be associated with the current date, it is possible to backdate the Payment date associated with a Pledge Payment. As outlined in TASK knowledgebase Solution # 19536, here are the steps to take to enable this feature.
1) Create an entry in T_DEFAULTS with the parent_name 'IMPRESARIO', field name 'CONTRIBUTION PMT DATE CHANGE' and the value 'Yes'. If this entry does not exist, or the value is 'No', the current date and time will be used as the payment date, regardless of what is entered in the contribution editor date field. If this entry is added or updated in T_DEFAULTS, you must log out of Tessitura and back in again for the new entry to become activated
2) Open the Contribution Editor and select the Constituent making the payment.
3) Open the payment window, enter the payment and click 'OK'
4) Select the Source Code.
5) If the Existing Contributions Window pops up click 'Cancel'; do not select a pledge for payment at this point.
6) Edit the date in the date field to reflect the desired Pledge Payment Date
7) Click on the 'Pledge Payment' button. At this point the Existing Contributions Window should pop up and you can now select the pledge for payment.
8) When the Pledge is saved, the newly entered payment will reflect the backdated payment date.
Please note that the order of the steps outlined above must be followed exactly.

Hey guys,
I have a similar question. As we are coming to year end contributions, December 31st falls on a Saturday. Any gift received after December 31st, but post marked December 31st, will still be counted towards the month of December as a donation. When I enter contributions into Tessitura, I’m only allowed to put one date on the entry. Can I backdate this to Dec. 31 so that when I run a report of December contributions, it will be included?

For calendar year end – we do not extend the financial period that ends Dec 31 (this year) but do want to receipt the folks that have US Mail postmark for December 31. We do a separate acknowledgment/receipt that has the “Gift Date” hard coded as December 31, 20??. In this way the letter are generated as usual but the date will always say December 31.
We usually have this the default receipt the first several days of the new year with the regular receipt available for those really intended for the new calendar year.
So you would have
MOA Fund
MOA Fund 12/31
This saves on having to do special mail merges etc. – the one drawback is the 12/31 receipts are updated with the new year each December but we have found these receipts rarely receive reprint requests.
All of this lets us keep donors happy and does not mess with normal financial period postings.

Hi Sarah,
I believe that most, if not all contribution reports are based upon contribution date as opposed to transaction date, so you should be fine simply backdating the contribution date.That is what we do.If there is a specific report you had in mind let me know and I can test it for you, as I just backdated a gift in my test system.
This date also appears on the acknowledgement letters. (though ours is slightly modified I'm pretty sure this data column is in the canned version)Cheers!

We like the format of the New Contributions Report, but it pulls on Transaction Date!
We are backdating contributions dates as well as post dates to get things in the correct month.
Can you suggest another report that pulls on Contribution Date or Post Date that would show new contributions received in a particular month?

I enjoy the Pledge Gift report in the Finance folder.
Let's go one more step. Our FY12 ended June 30, 2012. I just received the final payment of a grant that supported programming in FY12, which means I need to include it in FY12, not FY13. How can I go about doing this?
I had to do this with another donation and it worked, but since then, I've been processing gifts for FY13 and now it doesn't seem to work. Any suggestions?

Did you enter a payment schedule for the grant since it was (apparently) paid in several parts? If so, then you can just enter it as normal because the full amount of the pledge (grant) would already be entered to the correct fiscal year. Since all the money in the pledge would have been recorded to FY12, then it doesn’t matter when the cash comes in.
If you did not enter the outstanding balance as a pledge, then the “official” way to do it would be to record a pledge for that amount back to FY12 by dating the pledge entry in FY12 and posting it to FY12, then recording the payment to today. But you have to be careful about posting things to a prior fiscal year because your finance folks have to be made aware of the fact the money counts to FY12. I don’t know how you transfer Tessy data to the finance department, but if you have already sent over June data, the finance people may need to make a manual entry to record this transaction.

If you’re not fulfilling a pledge but entering a new gift, you have to change the campaign dates- extending fy12 to the day that you do the deposit, but before you can do that you have to adjust fy13 dates. This includes appeals and sources, as well.

Double check your end dates on the campaigns & funds. You might have to massage them a bit (i.e you might have to make your FY13 start date July 17 so that your FY12 end date can be July 16, and then you can do your year-end transactions. After that, just adjust the start/end dates back to your June 30/July 1 timeline). Check your appeal and source dates too, sometimes they can be tricky as well.
Our year end is December 31, and we often have to backdate some gifts because they are post-marked before the year end. I’ve finagled the campaign/fund dates in order to work around this issue.

I take it that you are not paying off a pledge for FY12. In that case, as long as the FY12 campaign (as well as sources you will need) is still active you can enter in the gift. (What we would do here at the PSO is to enter in the pledge for 6/30/12 and then enter in the payment on the day that the actual cash came in.) If you just want to enter in the gift on the day that it came in, such as July 10, in your batch as you enter in a new gift, enter the fund and then select your FY12 from the campaign drop down. It’s basically what you would do for entering in multiyear gifts, except your selecting the previous year.

Technically I am fulfilling the pledge, but the other complicated step is that the final payment is less than we anticipated due to a change in the eligible expenses from the original grant proposal. So in reality, I need to change the pledge total, fulfill the pledge and backdate the check to last fiscal year. Or, is it easier/possible to cancel the remaining pledge and add this final payment as a new gift??
I changed the dates as you described, but only for the foundation campaign and not across the board (to include corporate and individual). Would you recommend I change all the fiscal dates, and if so, is that possible when I’ve already entered new fiscal year gifts last week? Or, can I change these dates back once I’ve finished the gift entry and so I don’t have to change the other dates?
