Hello all,
Our Development Department has come across a problem that could be solved by Version 11--but I'm looking for any input on how other organizations handle this:
Our Institutional records are set up such that there is a Corporate or Foundation record to which any contributions are entered, and there are associated records for all of the Organizational Contacts. BUT, if we want to pull lists based on contributions, we don't get these associated contacts--we just get the institutional record, which doesn't have accurate, specific contact information for any of the various contacts--CEOs, Assistants, Board Members, etc.
Our Institutional Giving director faces this problem most often, and has created an Attribute to flag the individuals associated with institutions with which he has relationships--those he would want to invite to openings based on their institution's giving, etc. We closely monitor this attribute and generate a list based on the attribute for mailings, invitations, etc. BUT, it means we can't pull lists based on Contribution to Gala or Capital--because the Organizational Contact pulls in the segment based on the attribute (more accurately), and the Institutional record pulls on the, say, Gala or Capital segment based on Contribution. The records don't dedupe.
Not only is this a waste of our resources, and, if both materials make it out the door, unprofessional, but I'm not convinced that there isn't a better way to do this. Is there a way to pull all records associated with another record? I also don't think our Attribute is the best practice way of pulling the Institutional list to begin with.
Any advice would be much appreciated.
Thanks,
Frannie O'Connell
We’re only using Street 3 when absolutely necessary (because we don’t have room for it on ticket headers, which we use as address labels)—and that for business addresses in Individual records. We leave the company name in Salutation 1 for organization records. We’re trying not to send mail to the company, but to the people at the company.
We are handling people who work at companies via affiliations. We have a few different affiliation types that we use: Primary Contact, Grants Contact, Tickets/Benefits Contact, Primary Contact, Employee (for corporations); Teacher (for schools). So for mailings having to do with tickets, I’d pull the Tickets/Benefits Contact(s) affiliated to the company that holds the tickets.
