Question about membership level pulling in User Defined Format from a List

I am trying to figure out which membership level (the one relating to the active/lapsed record, or the one relating to the pending record) pulls in which reports and lists. Can anyone help me? I am especially trying to clarify the membership output from User Defined Format From A List. According to the Appendix of the "List Creation and Management" document on the website, the membership "Date and Level come from record... with the highest expiration date." This makes me think that the membership level should come from the Pending record if there is one (since that would have a higher expiration date than the Active record). However, when I download the User Defined Format output into Excel, I end up with the highest expiration date *and* the highest membership level (which is sometimes from a different membership record than the highest expiration date). Am I misreading my report data, or the document on the website?

Thanks for any help you can offer!

  • Hi Allison,

My understanding of User Defined Format From a List is that it will return the highest expiration date and the highest membership level from the pending and the active memberships. So you’re right that this data could be pulled from different memberships, if the active membership has a higher level than the pending membership.

You can change this, though, in T_DEFAULTS by setting SHOW HIGHEST LEVEL IN HEADER to ‘No’ or ‘N.’ If you do that, User Defined Format From a List will always pull the level and expiration date from the membership with the highest expiration date. Changing this default, though, will also apply this change to the membership level that gets displayed in the standard donor header (if you use it). So you’ll want to be sure that change is okay for your organization.

    Hope that helps!

    …Alex
