More than one record

How do other organizations handle multiple contacts at a corporation, foundation, etc...?  In some cases, we have multiple contacts that must each receive information from us.  Is there a way to mark a primary record for cases where we are tracking grant monies, for eg?

  • We have had success using a base ID with a primary contact, adding aliases to that record of other names, as well as associating other individual records for the aliases added.

    Thanks.  Let me see if I understand.  So, I can have a primary account and then add aliases?  But do the aliases populate individual records on a listpull?  Does that make sense?  I just want to make sure when we are pulling a list in which multiple individuals from the same organization need to receive a copy of our print materials that each record is pulled.

    I'm happy to clarify a bit more.
     
    Part I
    Here's an example:
    N1 The Pie Company
    N2  Ms. Greenie Apples
     
    Aliases: Ms. Pan O'Crusty type = colleague
               Mr. Baga Flours type = colleague
     
    Then, create separate records for O'Crusty and Flours, that includes an alias of The Pie Company.  So, if you ever what to know whose associated with The Pie Company all three records will appear in a general search.
     
    Part II
    To pull lists you have to use Employment Associations from the base record (The Pie Company).  To do this you will add an association type = 'Employee' in O'Crusty and Flours records linking back to type 'Employer', The Pie Company.  When this is set up you can build a list of IDs in List Manager--using the criteria screens that will include The Pie Company in output, then click the Associations button in the lower right (to select Include Associations Type 'Employee'; Keep base IDs, Respect association start/end dates--minimum).  When the list generates it will include the employee records too.

    We have an "Other" association of "Same Person" so that we know that Mrs. B. Red = Ms.Greenie.
