I am very new to my organization and Tessitura, we are currently developing the way in which we use Tessitura to make it more efficient for our organization. I was just wondering if anyone had suggestions or feedback on how they use 'tasks' vs 'notes' in the Solicitation tab. I'm seeing task as an "action" field and then notes as the details. I know for reporting the action is something we want to see as far as our process but specific information in notes can get quite lengthy...also was wondering if 'tasks' can be bulked more on the corporate level? Any suggestions would be appreciated. Thank you.
Chris,
We use both tasks and notes in Solicitations.
Tasks are used to track moves such as "send first renewal letter" or "met with Dr. Phalange for lunch to discuss gift" or "sent formal ack signed by JS"
Right now we use notes to record changes we make to the solicitation. For example: "changed BY date from 5/30/2011 ot 6/30/2011, Mr. Gosling is having cashflow issues- DA 5/11/2011" or "GOAL changed from $10K to $20 after meeting- DA 4/15/2011" . Our notes always include the date and initals of the person who made the change.
I'm not sure what you mean by "wondering if 'tasks' can be bulked more on the corporate level?"
Dale
Thanks Dale, great to see how others are doing things.
As far as bulking tasks, I'm referring to having one task that I'm going to use for numerous corporations, can i use the same task for multiple corporations or do i have to assign a new one to each?
A task is basically a tickler that you add to a constituent's record and is tied to a specific solicitation record. You need to create a task for each constituent if you want it to show in their solicitation. You can however add tasks "in bulk" - meaning you can add tasks with the same values to a group of constituents all at once. You just create a list in List Manager for those constituents and use the Manage Solicitations utility (see Campaigns - Solicitations). Is that kind of clear?Dale
