Finance/Accounting assisting with contribution processing?

Hi folks,

We have one staff member who has been our development database coordinator prior to our transition to Tess. Her role has expanded into a lot of other duties and we're trying to find ways to move data entry and contribution processing off her desk.

Our Finance/Accounting department would like to take this over. However we're a little concerned since their focus is essentially on the $$, whereas our Patron Development department has a whole host of actions etc that arise out of how the contribution/membership/acknowledgment is coded etc.

So what I'm asking is - does anyone split out the entry and processing of contributions to lie outside your development department? How do you maintain checks/balances on what your data entry person is doing? How has it worked for you?

Any info would be great, thanks!

    I handle all recording of contributed income into Tess and I’m in the finance department.  But to be fair, in fact I used to be an accountant working in development and moved over to finance when I assumed extra finance duties, so what you want is someone like me. J

     

    Seriously, I think there are advantages to having someone who understands receivables (i.e., a finance person) doing the data entry because hopefully they are less likely to record a pledge payment as a new gift.  Either way, there is an education process of teaching a devo person accounting or teaching an accountant devo processes.  I think the latter task is easier.  As with any data entry job, the key is a good checklist of things to look for on each gift and what to do when you find them.  And of course, with Tess’ batch system, you can always have a devo person review the data before posting.

    I think what you are proposing could work.  If I had to set this up I would probably divide the duties in very specific ways. So perhaps the finance folks do the actual contribution entry while your patron development handles acknowledgements.

    What I have typically seen within our consortium is that one of the junior level users in finance is acting as the backup to the main data entry person in development. We are staffed pretty thin, so there usually aren't two people in the same role.  When the development user goes on vacation, data entry devolves to finance.
