How do you process/track online donations?

Hello everyone

We're currently investigating some historic online donations and considering how we'd like to process and track these in future so I'd be interested in hearing from anyone who has effective procedures in place, which you might be able to share with us.

In particular, we're keen to investigate:

* Do your systems create CSIs for online donations and, if so, how do you use these CSIs?

* With online donations that come as part of a ticketing transation (e.g. a top-up donation), how and where do you separate out these incomes? Through GL codes perhaps? Do you journal funds over when the contributions are processed?

* Does anyone know of a useful report for tracking historical online donations? If not, how would you track your donations? Through the appropriate campaigns/funds?

At the moment the only online donations we receive are 'top-up' donations at the ticket purchase stage, however, we hope to offer the online purchase of memberships in the not-too-distant future.

    Currently if a donation is added to an online ticketing purchase the donation goes On Account in the Constituent record and the Development department processes the contribution the next day.

    We will be going live in July with an expanded online contribution page, which can act independently of or be added to a ticket order.  Any payments will still go On Account and Development will process the contribution. 

    There will be the option of a 12 month payment plan - first payment goes on account, the payment schedule is automatically put into a CSI with the fund designation (there will be two options - Annual Fund Membership and Youth Programming). 

    The CSI will also submit the constituent's Program Acknowledgement request (including the Anonymous option) and the name of their employer for Corporate Matching (if applicable).

    The following day the Development department will run the Customer Service Issue Report with the applicable Activity Type to identify all donations received online the prior day, and then process the contributions as either payments or payment/pledge.

    We do both online donations with a ticket purchase and 'stand alone' donations. Both of these are processed through the ticketing side to on-account. This is the preference of our devo department - not a limitation of the software. We create a CSI with every online donation which makes it easier to track the online donation and any requests.     We do accept pledges, matches, and gift recognition options. It will generate a CSI that has in its body things like this:
     
    ONLINE GIVING OPTIONS
    Recognize gift as anonymous
    No donor benefits requested.
    Testing a strange bug!
     
    As for tracking historical online donations we use a variety of reports.

    Thanks for letting me know how you process your online donations. It looks like we've got some serious thinking to do!

    Could you let me know what tracking reports you find most useful and if you've had any custom ones made?
