Expenses management in Tess

Hi All,

I am trying to get a better understanding of the Expense Mgmt functionality  under the Campaign area in Tess, and  I was wondering if some of you could share your strategies about your set-up?

There are two goals that I would like to utilize Tess more in the Expenses Mgt area,

1. To understand the pros and cons between tracking costs by per mailing piece v.s. a sum line-item, and how to maximize this data value against campaign analysis.

2. To hopefully enter chart of account into the cost mgmt,  to smooth out the reconciliation process with our financial office.

    In terms of using the appeal in different ways we switched it this past FY and have a separate appeal for Renewals, Lapsed, & Acquisition versus just a generic Supporting Member FY appeal and have the breakout be at the source level. We have the appeal category use the same breakout so going forward we can look at appeal categories of just lapsed for example across FY.

     

    Within the appeal, our source groups breakout the channel. So we have a source group of Phone, Mail and Web.  

     

    We do not do any expense management at the campaign level.

     

    I presented on the original version of our custom report in San Antonio.     We’ve edited the report since to accommodate our new source group/appeal group set up. I can send you screen shots of that too if you’d like!

    Currently we are tracking our expenses in a very similar fashion to yours, but instead, we just combine everything into one fulfillment costs. Your example provides us a good way to define some cost items. 

    And YES, I would love to learn more about your custom version of the Revenue by Source and Appeal. Currently at SFJAZZ, an unique appeal is created for each mailing, and source codes generated by each mailing group. Since the mailing activities are mostly monthly routine, I would like to learn different options to manage it; seems like it is possible to use appeal to define a type of action, rather each action correct?

    Do you then use the expenses management at all at the Campaign level?

    We at the Science Museum use the expenses on the per source level in the appeal. I add postage costs (delivery), mailhouse or telemarketing fees (acquisition) and media (printed materials). We don’t use the fulfillment costs.

     

    We use a custom version of the Revenue by Source and Appeal to track our ROI and cost per dollar raised with this information. We’re often less interested in how the specific source did cost wise and more so the bottom line of our renewals in mail versus phone, etc. Though it is helpful when doing acquisition to see how successful some groups are over the others to determine which is more cost effective.

     

    I can get more into specifics of our custom report and how we set up our appeals, appeal category, source and source group if you’d like.
