Elevated Event tracking when Gala tickets purchased using contributions tab in Ticket Orders

Hello everyone,

For many years our yearly Gala has been a ticketed event in our theatre.  So, tickets were originally purchased and processed through the Ticketing Module and then the receiptable portion of the ticket was processed through Contributions at a later date, as we did not have the non-deductible amount pre-determined.

This year we are moving to a sit down dinner (on our stage, ooh, ahhh), so I want to take full advantage of the Elevated Events functionality.  This includes pre-determining our Non-Deductible amount.   However, as our patron base is very much used to purchasing Gala tickets through our Box Office I do not want us to lose that convenience either.  We are in a city where corporate table purchasing is not really the norm, there is some (sponsor benefits mostly) but it's predominantly individual/couple sales who are very used to Box Office staff interaction.

We have never used the Contributions tab in Ticket Orders before, but wondering if this is the best way to go if our Box Office is contacted for gala ticket purchasing.  What I really want to know then is the best way to capture the information we require in the initial transaction, and also advice on what that required information should be - Can Box Office enter info into the Notes field here that can then be tracked by Dev Dept staff through a report?  How will Dev know if ticket sales have come in this way?  Or does Box Office process the payment, collect the info and put it into a CSI for Dev to then follow up?  Any thoughts on how much info should be collected in the initial transaction vs. what is best to capture in follow up contact with the constituent?  All table assignments will be coordinated through the Dev Dept so there will be some follow up communication with everyone.

FYI we are working with quite limited labour resources so any and all brilliantly efficient ideas are very welcome!

Thanks so much,

Duane
