The Dallas Zoo is considering moving to a new “one plan to rule them all” structure where each account with an active donor relationship has a Primary Plan. These primary plans would be where the majority of interactions across programs are tracked for gift officers to have a full picture of the relationship at quick reference. We would use fiscal year and campaign-specific plans for tracking operational steps related to specific gifts like acknowledgements and renewal touchpoints. These gift-specific plans would track Ask, Goal, Recorded amounts, and connect to actual contributions and would be used for reporting and projections. Is anyone already doing something similar? How is it working for you? Any tips? Would you be willing to talk with us about your setup?

I work in the Philanthropy team at Sydney Theatre Company and we also work on a 'one plan for all' approach (with a couple of exceptions to the rule, such as Legacy giving, which has a non-fiscal year Campaign attached to it). While we don't actively use the Ask/Goal/Recorded sections of the Plan, though once we move to v16 and Analytics later this year, we're hoping to be more strict in terms of recording this information so we can start to see some further insights on our donor groups. Though we do highly recommend having one Plan to track all interaction, track renewal reminders, log thank you items and using the Steps to draw people into Lists/Extractions for Opening Night and other stewardship events. We can also group prospects into specific areas so we can talk about them at our regular moves management meetings and next steps for our Board, Foundation or Exec staff.
