Tracking membership benefit use

We have a new membership benefit that entitles our donors, who are current at specific membership levels, to a seat upgrade for one performance per year. We are curious if any other organizations do this, and how you are tracking it. We need to have a method of indicating that they have already used the benefit so that patron services can refer to that when fulfilling requests.

Our initial idea is that all donors at a specific membership level will get an open CSI (either added to their record manually, or by a nightly procedure) that the patron services reps can use to verify that the donor is entitled to the upgrade. When the patron services rep seats the upgrade they close the CSI. 

Anyone have a better, more elegant method of doing this?

  • Perhaps a premium instead? Same principle, really, but it can be assigned easily at gift entry with a click (rather than having to go in the constituent’s record, add the CSI, and select all the stuff from the dropdowns). When it’s redeemed, the premium can be marked as sent.
