Changing Membership Levels

Hello!  We are changing our membership levels for the first time since we have had Tessitura and I had some questions.

When we notify our donors,  we will be asking them to make the giving upgrade at their renewal month.  For those that are already current donors, they can remain getting credit for the new membership at the old membership level until their renewal time.  (Example, the current Major Donor starts at $1500 and is going to $2000.  We still want to honor those at $1500 as a Major Donor until their renewal date.)  What is the best way to do this?

Once I change the membesrhip levels what happens to the old memberships at the lower levels?  Does it move everyone to the new levels?  If so, does this mean I will have to go in manually and upgrade the membership levels for those we are grandfathering in?

For anyone who has done a membership level change in their organization, could you give me tips or advice to make it as smooth as possible?

    We have just implemented a change in membership levels.  In most cases we kept the same number of levels but changed the name of the level.  Generally the money stayed the same or, for our bottom level, was decreased.  However, we did combine two levels (old $150 and $300) into a single new level at $250.   While I don’t claim this is the best way to accomplish the changes, here is what we did.

     

    We selected a single implementation date at the beginning of a month.  I then ran a list of everyone in the two levels to be combined so I would always know who they were (this was about 200 names, so it wasn’t overwhelming).

     

    On the last day of the month before, I went into the Membership Campaign and changed Membership Organization setups to reflect the new names of the levels and the amounts where needed.  To collapse the two levels, I changed the lower level to the new name/amount and deleted the upper level.  Tessy automatically moved the “deleted” level folks into the lower level based on their dollar contributions after the Member Update Report was run. 

     

    Since you are grandfathering in folks at their original levels, changing the amounts required for the level will not affect their current membership but it will affect any new memberships after you make the change.

     

    When we send renewal notices, we make a big deal about our new system (and the new benefits attached thereto) with the hope that they will renew at their current level, even if it does have a higher price.

    We did this some time ago for one membership organization. We kept the current membership levels and just changed the membership start and end amounts.  Old memberships stay at the original level but must now pay more to stay at the same level.
