Automated contribution receipts

Hello!

I would like to hear from anyone currently doing automated contribution receipts, including GSV and appropriate IRS language. Very interested to hear other perspectives and solutions.

  • We only use fully automated receipts for gifts under $20.  It's a triggered email through WordFly based on a report that runs every morning.  The email includes whatever our current "thank you" message along with the gift details, which are just an output set from the report.  We include gift date, value, and fund, along with our tax ID code and a statement that no goods or services were exchanged for the gift.

    Anything larger is a semi-automated process where our gift officers get a weekly report that they merge into a template and include a personalized note.  Those get sent out as hard copies.

  • We do the same for $2-$49.99.  Daily triggered via Wordfly.

    I made a local view for the output set and the list and you can see the email record in the WordFly custom screen on their account.  I schedule the Print Ack Letters Utility a couple of minutes prior to the WF email to pull in the tax receipt # (and it uses the contrib ref_no if that fails)
