I have a pretty basic question, but one that's got me stumped. Like - I assume - most organizations, we recognize honoraria and memorial gifts in our program listing, along with other gifts.
Where I'm running into trouble is in figuring out how to pull a list of these gifts made in the past 12 months.
How do you do it?
Thanks in advance for pointing me in the direction of the obvious,
-Kat
We pull these by fund, and we have a custom field in the contribution record stating what the gift was for that is used for recognition as well as acknowledgments.

Kathryn,
It will depend on how you mark the gifts. As Marie said, if the only indicator is in the Notes field of the contribution then it is going to be quite difficult. My preferred method is actually a combination of the two earlier responses. A designation makes it very easy to build a list or extraction which would give you all of the desired contributions. For the program listing, I think a field on the contribution Custom tab is the best way to record the actual text you want to appear in the program book.
We have the association link as well as a custom tab that is used to help create the fields needed for the acknowledgement letters. In addition the IHO/IMO gifts all have a source code indicating same- if we get many gifts for the same person – special source code is set up for the that person.

We track our IMO and IHO gifts through designations. I have yet to have this type of request from our development office. It depends on how you mark these gifts. If you mark them only in the notes field of the contribution entry screen then that will be hard to pull. But if you mark them as something you can choose in a drop down menu, you should be able to choose that criteria on a list or output set. Not sure if that helps, but it might help you think about how to track IMOs and IHOs in the future. We enter the program name listing in the custom data (named it Tribute Gift Message) and our IT guru created a custom report that pulls the data based on a data parameter.
