Automated Donation Receipt/Acknowledgement Emails

Hey everyone,

We are looking into the possibility of having receipt emails automatically sent out when someone donates. I saw where several years ago it was discussed about using Wordfly to do this.

Does anyone have a best practice or are you already doing this within Tessitura through your own organization. We would want this to work online as well as "in person".

Thanks,

Daniel

  • Hi, Daniel!

We had a similar discussion about WordFly vs Tessitura recently. We have an e-acknowledgment utility built into our system where the text of each acknowledgment is hardcoded into the system, and we use a system table to upload PDF coupons for donor benefits (for example, a $150 gift gives you the right to a Goodman branded pocket calendar, and to claim, you print out your coupon and bring it to the box office or gift store). You do have to manually run the utility, but this helps us catch folks who don't have an email address whose gift got an e-acknowledgement type attached to their gift in error. This email comes from Orders@GoodmanTheatre.org, which is the same email folks would get after buying tickets, and is strictly HTML.

We decided against using WordFly for tax acknowledgments because sometimes a donor may have unsubscribed from our WordFly emails, but will still receive our Tessitura ones. The pros of WordFly are that their emails are prettier, but the potential to not get that tax language to people outweighed the beauty piece. Instead, at the end of a campaign we send a more generic message to donors of that campaign via WordFly, which does not have any gift information. It also gives us another touchpoint with these donors, which I think is nice.

    Hope this is helpful!

  • Delaney,

Thank you so much for your response. I think using a Utility might be the best option for us to achieve our goal. Would your team possibly share this report with us, so we can try to implement this into our system? My email is dharris@tpac.org.

  • Hi Daniel,

Let me check in with our head of IT and cycle back to you!
