Tracking Donor Sponsorships

Hi All,

Wondering what are the best options/tools others are using to track donor sponsorships.  More specifically, this would be tracking donor sponsorships of productions, artists, events, rooms/locations, and other resources.  I'm looking to be able to track the length of the sponsorship (fiscal year if possible).  Additionally, I'm trying to have an easy way to get a report out of Tess that show the sponsorships for a given year by type (production, artist, etc).

We are currently are using a custom tab with a custom report, but looking for other options before we fully commit.

    For underwriting productions, we use Plans and the Designation line (Production Support) within the Plans, and we link the contribution to that plan. We also add a note to the contribution to note which production the gift is underwriting. We create constituent records for our endowed artist positions and track information there. We don't necessarily have one way to pull a report for all sponsorships by type, but I could potentially build an Analytics dashboard with Plans and filter them by the Production Support designation...perhaps.

  • Thanks so much for sharing Angela.  This sounds like an excellent approach to tracking.  A few quick questions:

    1) By adding this Production/Sponsorship Plan in our organization I'm concerned we may have too many Plan types.  Additionally, with adding another Plan type I could see the field choices within the Plan could potentially become quite long.  How do you manage all your Plan types?

    2) Are you able to link the contribution to multiple plans if there are multiple donor benefits from one contribution?

  • 1) So, we've moved to only having three plan types: FY Plan, Planned Giving, and Trustee Prospect. The FY Plan incorporates both Annual and Special Events, and we can link several contributions to one plan. Our funds for special events are descriptive enough that we use the Plan details to outline the annual fund designation to note the designation (if there is one). So far it isn't too many plans - we have one team manage the FY plans, a planned giving officer for the pg plans, and our board liaison manages the trustee prospect plans. 

    2) I don't believe you can contribute one contribution to multiple plans. Sorry!
