Hello All-
Has anyone created acknowledgement rules that pulls 2 separate campaign contributions in a single letter? If it can't be done in acknowledgement set-up, has anyone found a good work around? We just launched a capital campaign and senior management feels strongly that campaign gifts and annual fund gifts should be acknowledged within the same letter (if they give to both at the same time), though they will be processed in Tessitura separately as they are different campaigns. I am struggling a bit with finding the cleanest and most error-proof way to set up a procedure that will capture both transactions to merge into a single letter, that also doesn't have me constantly doubling my work and double checking that donors got the correct letter.
Thank you!
Lindsay
Would it make sense if you created a new ack letter type for “Annual/Capital” or some kind of combo? Then write your letter as such. And associate that letter type to both campaigns.
If you assign both transactions to that new letter type, it will still pull 2 ack letter “rows/entries” but you could do a copy, paste of the merged information and then delete one of the letters.
Its not very elegant, but might get the job done.
Hello - I know this post was quite a long time ago, but I was searching this same question today and I wondered if anyone found a better answer. When we enter a membership and a donation for the same constituent at the same time, we would like for it to pull both amounts into one acknowledgment. Thanks!
My solution to it is different, but also not very elegant. I merge my gift notes into the header of my ack for me to reference while I review acks before printing. Say someone gave to Campaign and Annual Fund at the same time and I want to ack together, I assign an ack to just one of the gifts, and on the other gift in the notes I write something along the lines of "ack-ed with Campaign gift given on same day." Then on the gift that is assigned the gift, I write something like "include $10k Annual Fund gift on this ack." It doesn't merge the data in, but I have my notes to myself there, so I include all the info I need in the notes so that I can quickly manually type in the extra info for the other gift. Not elegant, but it works well enough.
It's been a long time since I did it, so there's several versions of Word since, but I created Word logic to parse the Print Acknowledgement letter output for this kind of thing support.microsoft.com/.../set-the-rules-for-a-mail-merge-d546ee7e-ab7a-4d6d-b488-41f9e4bd1409. It was at a different organization than now, and I don't have a sample to offer, and it's not for the faint of heart. As a consolation prize, I offer my basic formatting Word doc, which was a step before the really complicated word logic based on text in the print ack letters output used for specific letters.
