Membership Renewal Reports

Good morning -

Just mulling over the process for entering memberships and reporting - we create mailings each month for those who are coming to the end of their yearly membership.  Wondering how any of you track memberships for those who donate several times a year.  We have a slight issue with those who level up for just a few months - for instance, a donor makes a $750 gift in May, so their membership ends the following May.  8 months later, in January, they make another $250 gift to level up to $1000.  When would you end their memberships in these cases?  We are having a discussion regarding that now, with several ideas on how to best serve these constituents.

First Idea is to have them at the $1,000 star circle membership until the May expiration date, then back down to the $250 level until the January expiration.  I find this cumbersome, but looks great in a donor's eyes.

Second idea is to have them at the $1,000 level until May expiration, which looks like the Tessitura "rule"

There were a few other ideas, but these are the main two.

Related to this is how these members are pulled into reports - ideas for reporting LYBUNTS?

Thanks for your input!

  • Can't wait to see the responses on this one.  We've  had lots of conversation around this.  We currently do the second scenario.  As long as it's outside of the renewal time frame, we consider it a second gift during the same membership year.  In the scenario we outlined, I would solicit the donor for $1000 in May - unless the $250 gift was for a certain appeal - like a giving day, etc.  It has been successful more times then not.
